Replacing spreadsheet closing with a branch finance platform
A multi-branch service group (pseudonymized)
Deals, commission splits, and bonuses used to live in Excel — monthly closing took days, complex split rules invited errors, and everyone could see everything. We built an internal finance platform that moved deal records, commission rules, approval flows, and role-based access online.
The problem
- Monthly closing meant manually merging spreadsheets from every branch
- Commission and bonus rules (cross-branch, multi-role splits) were hand-calculated and disputed
- No access control — anyone with the file saw company-wide numbers
- Edits left no trail; errors could not be traced to who, when, or what
What we built
- 01Online deal records: branches create entries; HQ sees them in real time
- 02A commission/bonus rules engine: cross-branch and multi-role splits computed automatically — every rule confirmed in writing with the client before implementation
- 03Role-based access: managers, accountants, and executives each see their own view, enforced at the database layer
- 04Approval workflow: changes take effect only after review
- 05Audit log: every mutation records who and when, fully traceable
- 06Payroll, petty cash, budgeting, and receipt printing integrated alongside

The outcome
